Life After Retirement: The Journey of Campus Hardware
When a university-owned device reaches the end of its initial role, it doesn't simply get tossed into a storage closet. Instead, it enters a structured lifecycle process designed to maximize financial value, protect sensitive campus data, and ensure accountability for every piece of hardware purchased across campus.
A common misconception is that UITS owns all campus technology. In reality, individual departments purchase and fund their equipment, retaining ownership throughout its entire lifespan. UITS acts as a technical partner, guiding security protocols and asset management rather than deciding where hardware belongs.
"Our team plays an important role in managing the technology lifecycle, from standards and purchasing through deployment, support, and eventual retirement," says Mario Uribe, Assistant Director of Endpoint and VDI. "Because departments fund their own equipment, they remain the owners even though IT provides the management, security, and support services around it."
When a device is flagged for retirement from its primary role, teams evaluate its age, physical condition, performance, warranty status, and security capabilities to determine the next step. Reusing equipment on campus is always preferred over immediate disposal.
"When equipment still has useful life, we look for opportunities to extend that life rather than automatically replacing it with something new," says Natalie Ramirez, Desktop Support Manager. "A computer that may no longer be appropriate as someone's primary workstation can often be repurposed for a less demanding function within the department, or become part of a pool of shared devices for student workers."
Extending hardware utility keeps operational costs down and reduces e-waste, allowing departments to extract maximum value from assets already bought. When technology can no longer serve a functional purpose on campus, it moves into the official surplus or disposition pipeline. At this stage, data security becomes the top priority. Technology containing internal drives or storage media undergoes thorough wiping procedures to ensure no institutional information leaves active service.
"Retiring a device does not mean retiring our responsibility for protecting the information that was on it," Uribe notes. "Data protection remains part of the process through the point of disposition. Before any data-bearing equipment leaves active service, appropriate steps are taken to securely remove University information in accordance with campus requirements and standard security practices."
The sheer volume of hardware requiring this level of oversight is substantial. UITS currently manages roughly 14,000 devices across campus, a total expected to reach 20,000 as the environment grows. Handling equipment at this scale requires continuous coordination, and employees returning old laptops, monitors, or peripheral gear play a direct role in keeping the system running smoothly.
"Turning in an old device is really the beginning of a lifecycle process, not the end of the device's story," Ramirez explains. "Working with department and UITS support teams before disposing of technology helps us maintain accurate records, protect university information, and make sure equipment that still has value isn't unnecessarily discarded."
