Gmail: Alumni and Retirees will have their university Gmail (CatMail) and Google Calendar migrated to Outlook in Microsoft 365 Tuesday, Nov. 4. On this date, they should sign in to outlook.arizona.edu to receive and send new email from their university account. All access to university Gmail and Google Calendar service will end Nov. 25. They will continue keep their @arizona.edu address.
Google Apps: Alumni and Retirees' Google Apps will become read-only on Tuesday, Nov. 4. All content they wish to keep should be transferred or downloaded by Tuesday, Nov. 25, 5 p.m. At that time, their access to their university Google account will be discontinued.
- NOTE: Current employees who are also alumni of the university will see no change to their account or access to any resources or software.
These changes will increase information security and streamline the university’s email delivery operations. This project is part of the continuing efforts of the university and UITS to enhance the effectiveness of IT and manage university resources effectively.
Gmail
Alumni and Retirees:
- Your university email address will continue to be [NetID]@arizona.edu.
- Start sending and receiving email and calendar events at https://outlook.arizona.edu, instead of Gmail (CatMail), when migration is complete Nov. 4.
- You will need your [NetID]@arizona.edu address, password and 2-factor authentication to sign in to your university Microsoft account.
- Check your Gmail against your Outlook to ensure all your email and calendar events have migrated by Nov. 25.
- If you are seeing missing items after Nov. 11, contact the 24/7 Support Center and they will create a ticket for the email team to resolve your issue.
- All access to Gmail and Calendar in the university Google service will end Nov. 25.
Google Apps
- Google Apps (Docs, Sheets, Drive, Photos, etc.) will remain available only for active members of the university community (Students, Faculty, Emeritus, Staff and DCCs). Current employees who are also alumni of the university will see no change to their account or access to any resources or software.
- The university Google Apps will not be available to Alumni, Retirees and other former affiliates after Tuesday, Nov. 25 and their data in Google Apps will be deleted.
Alumni and Retirees:
- You may begin transferring or downloading documents, photos and other files you wish to keep at any time. Check what is there at https://google.arizona.edu.
- You will not be able to create or add items to Google Apps after Nov. 4.
- All access to Google Apps will end Nov. 25 and data will be deleted.

Access to your new Outlook account will begin sometime in October; however, this mailbox is only provisioned to allow data to be synced from your Google account to your Outlook account. Any attempts to send or receive mail while in this provisioned state will fail.
You will be able to log into your Outlook account and use the email functionality in the afternoon of Nov. 4. Once the Outlook functionality is live, email will not be sent or received in Gmail.
It may take up to a week for all past email to migrate from Gmail to Outlook. If you are not seeing all email and calendar events in Outlook by Nov. 11, please submit a ticket to the 24/7 Support Center.
No. Your university address will continue to be [NetID]@arizona.edu. When you are signing into any university Microsoft service (online or application), please only enter your @arizona.edu address.
If you have a vanity address from having been associated with a specific college of program (ex, username@optics.arizona.edu) your vanity domain will persist on your account and all email messages will be sent to your primary @arizona.edu mailbox in Outlook.
Alumni and Retirees are getting university email accounts in Microsoft 365 (Outlook). They will be able to send and receive email and calendar invitations with their [NetID]@arizona.edu addresses via Outlook.
Retirees will also gain access to limited data storage in One Drive and to the Office Suite Online, in addition to email.
If you have signed up for applications or websites (for example, YouTube) using your university Google account as a primary login identifier, you will need to update your profile with a different email address to continue to access these platforms.
The Emeritus process can take some time, and you will hold a Retiree affiliation in the meantime. We recommend that your department or college set up a DCC account for you to allow you continued access to university services until your Emeritus status is completed.
After your Google account is frozen on Nov. 4, your data will be accessible in a read-only state until Nov.25, 5:00 p.m. At that time, all data in Google will be irrecoverably deleted. Ensure you transfer any content you wish to keep prior to this date.
After Nov. 4, your Google access will be limited to read-only. From that date forward, you will no longer have access to any of the Google Suite of tools for creating or editing files. Alumni and Retirees will continue to receive access to email in Outlook in Microsoft 365 rather than Gmail. Retirees will gain access to Office online suite. Complete suspension of all Google services in their entirety will occur on Nov. 25.
Forwarding email is not recommended as it breaks many of the security protocols built into most email platforms. If you choose to forward your mail, you do so at your own risk and the university cannot validate or guarantee email delivery to any service outside of the university-provided email system.
