DocuWare Document Management

DocuWare Enterprise is a secure document management system that can be used by University of Arizona campus units to electronically store, manage and retrieve sensitive unregulated documents.

Units are asked to name a Department Administrator for DocuWare who will manage individual users. Central Administrators will support them in setting up a departmental accounts. Individuals wanting to use DocuWare can check with their IT staff, supervisor, or business manager to see whether there is a Department Administrator for DocuWare in their area.

System Security:

DocuWare adheres to the information Security Office best practices for system security and may be used for University Information classified as either Public, Internal, or Confidential.  Regulated Information is prohibited unless explicitly approved for use in DocuWare by the appropriate Compliance Partner.

  1. Access Control: Role-Based, Named Users (via NetID) synced to Catnet2.0 Active Directory every 6 hours
  2. Encryption at rest: Stored data is encrypted at rest (AES256). Cabinet Index fields (metadata) are not encrypted.
  3. Encryption in transit: Data in transit uses TLS 1.2
  4. Adopting the ISO Risk Management Program.

Up Time:

Central Administrators and support teams make reasonable efforts to make DocuWare available 24 hours a day, 7 days a week, except during System Maintenance Windows and Scheduled System Upgrades.

Eligibility: 

All campus departments are eligible to request this service. The University of Arizona has purchased an enterprise license for DocuWare. 

Service Charge:

Service Charge Cost: 

Flat rate of $250 per person per year (named users with Read/Write or Read/Write/Delete permissions only). The cost recovery rate is based upon the annual vendor maintenance contract cost, campus unit storage usage cost, and dedicated support staff cost and is revised at the beginning of every fiscal year.

Service Window: 
Sunday 06:00 am to 06:00 pm
During this time, monthly windows patches and necessary hotfixes will be applied. Best efforts will be made to limit maintenance to this timeframe but cannot be guaranteed. The Central Administrators will notify Department Administrators of maintenance via docuware_users@list.arizona.edu at least 24 hours in advance. The Department Administrators have responsibility to communicate to their respective department users.
