UAGuest Sponsor - Bulk Import Instructions
Go to the UAGuest Sponsor Portal at guestsponsor.arizona.edu
Enter your UA NetID credentials (username and password)
Read and Agree to the Acceptable Use Policy and click on Agree to.
Then click the Sign On button.
The Create Accounts page is displayed.
Select Import Accounts > Download Template
Select the Open button when the "Do you want to open or save..." message is displayed at the bottom of the screen.
The Guests.csv template is opened.
Populate the Guests template with details of your guests (one guest per row):
First Name: Enter your guest's first name.
Last Name: Enter your guest's last name.
Email Address: Enter your guest's email address.
Note: This is the email address that the guest account will be sent to if a notification email is sent.
Phone Number: Enter your guest's phone number.
Company: Enter the name of the organization/institution the guest is visiting from.
Person being visited (email): Enter the name and email address of the UA representative being visited.
Reason for Visit: Enter the name of the event that the guest will be attending at UA (eg. conference name, lecture name, etc).
Group Tag: Enter
Once you have entered details of all required guests, save the template to an easily accessible location (eg. your desktop) then close the template.
In the Sponsor Portal, go to the File field and select the Browse button.
The Choose File to Upload window is displayed.
Navigate to and select the Guest template you populated and saved in step 3 of this process, then select the Open button.
The Choose File to Upload window is closed and the Create Account page of the Sponsor Portal is displayed again. The File field now displays the file-path to the template to be uploaded.
Update the Access Information section with:
From Date: Select the date from which the guests require wireless internet access at UA.
From Time: Select the time from which the guests require wireless internet access on the selected start date.
To Date: Select the date the guests will no longer require wireless internet access at UA (maximum 5 days).
To Time: Select the time from which the guests will no longer require wireless internet access on the selected end date.
Select the Import button.
A message is displayed advising the accounts will be processed in the background.
Select the Close button. The message is closed and the Sponsor Portal is displayed again.
Select the Notices button.
The Notices page is displayed and shows the current status of the upload process.
Assuming the status for the import process displays 'Success', select the Create Import Accounts link for the import process you ran.
A summary of the created accounts is displayed.
Select Notify and the Resend window is displayed.
Select your preferred notification method (it is possible to select both methods):
Print - to print a hard copy of the account details to hand to your guest
SMS - to have a text message with the account details sent to the guest's phone number provided in step 3.
Email - to email the account details to your guest
Note: If you select Email you can choose to have a copy of the notification email sent to your UA staff email by selecting the Copy Me option.
Select the OK button.
The account credentials for the selected guest(s) will be emailed to the guest and/or printed on a hard copy (depending on which option(s) you selected).
