What are the advantages of a UA Box @ UA account versus a personal Box account?
Your Box @ UA account provides 50 GB of online storage and allows you to upload individual files of up to 15 GB in size. You can search the full text of all the files you have on Box and view previous versions of files that you have stored. You can also password-protect the links that you use to share files.
What advantages does Box have over similar services like Dropbox?
In addition to more storage space and the ability to upload larger files, Box provides a full set of collaboration tools. You can add comments to files in a threaded discussion, receive instant updates when someone comments on or edits a file, and even assign tasks and due dates. Box also makes it easy to find what you are looking for by allowing you to search the full text of your files and enabling you to tag files and folders with keywords.
I can store files on my laptop, on a flash drive, or even in my email Inbox. Why would I use Box?
Box stores your files securely in the cloud, which means you can get to them from anywhere. You don't have to lug your laptop or carry a USB flash drive. As long as you have access to the Internet, you have access to your files.
Why would I share a file with someone in Box rather than just sending it to them via email?
First, email attachments use up your email storage space. Box allows you to share files with a simple link that anyone can access, even if they aren't at UA or don't use Box. Second, Box provides a better way to collaborate on documents. If the person receiving your document via email plans to comment on it or edit it, that means another reply email with yet another attachment. With Box, your collaborator can upload the edited file right to Box (or even edit it right within Box). He or she can add comments right alongside the file in a neatly organized, threaded discussion. You don't have to keep track of multiple email messages. And with Box, you can easily go back and view previous versions of the document that you have been working on—which is much easier than keeping track of different versions that were sent as email attachments.
Who can use Box @ UA?
Faculty, students, and staff at the University of Arizona are eligible for a Box @ UA account. Box @ UA account holders can share their Box files with people outside the UA.
Are alumni or retirees eligible for a Box @ UA account?
No. Alumni and retirees are not eligible for a Box @ UA account, but they can get a personal account from Box's consumer service for free.
I already have a Box account with a personal email address. Will that account be affected by Box @ UA?
No. If you have a Box account that uses a personal email address, it will remain separate.
What if I have multiple email addresses?
If someone invites you to collaborate using any email address associated with your Box @ UA account, it will get funnelled to your single Box @ UA account. You can add additional addresses, such as your department domain or alias address, to your Box account through the Box interface under Account Settings->Account.
When you create a Box @ UA account through account.arizona.edu:
- Your Box @ UA user name will automatically be your @email.arizona.edu address.
- If you have a different preferred university email address when you create your account, that address will also be automatically associated with your Box @ UA account.
- You can also add additional email addresses to associate with your Box @ UA account. Instructions are available at support.box.com.
When you click the link from an invite and create an account through Box.com:
- If your department has its own email address naming system (e.g., @as.arizona.edu) and your department has asked to be included in Box @ UA, your account will be created as @email.arizona.edu. See Box @ UA domains for the list of included departments.
- You will need to add your departmental email address to your account in order to see the files shared with you at that address. Add the address at https://account.arizona.edu/account/box or follow the instructions to add an email address to a Box account.
- If you have a UA email account that is a departmental address not automatically included in Box @ UA, going through Box.com to create an account will create a consumer Box account.
- If you wish to make it a Box @ UA account, follow the instructions to change your primary address on your Box account to your @email.arizona.edu address, and then contact the 24/7 IT Support Center to request that your Box account be brought into Box @ UA.
I use a different file sharing service. How do I move my files from that service to Box @ UA?
You will need to download your folders from your current service and upload them to Box @ UA.
What content can I upload to store on Box?
You can upload files and you can also upload folders.
How much storage space do I have on Box?
All faculty and staff have 50 GB of storage space. Early adopter may have 35GB; you can request an increase to 50GB from the 24/7 IT Support Center.
Can I get more storage space?

Which files in Box @ UA count against my storage quota?
Files use the quota of the person who owns the folder in which the file resides. So if you created or own the Box folder where the file reside, it would count against your quota. Otherwise, it would not. Your quota usage also includes any files that you may have deleted that are still in the Trash.
When I'm uploading a file to Box @ UA, what is the file size limit?
You can upload individual files that are as large as 15 GB.
What types of data can I store on Box @ UA?
Box uses state-of-the-art technology and industry best practices for data encryption during transit to and from the Box cloud, as well as while stored within Box. However, some types of data should not be stored on Box at all, such as HIPAA data and data covered by Export Control regulation. You can request a Box@UA Health account to share and store health information if you have completed Box@UA Health training and UA HIPAA training.
Can I use Box @ UA to store personal files, photos, and videos?
Box @ UA is a university service and should be used only for academic purposes and for official university business. You can set up a free account at Box.com with a personal email address for personal use.

Can I share files with people outside of UA?
Yes. You can send links to files stored on Box to any email address, whether a UA email address or an external email address.
Will those who are sharing my files still be able to access them after I leave UA?
No. If you have shared your Box @ UA files with others, they will also lose access those files when you leave UA.
I accidentally deleted a file stored on Box. Can I get it back?
Yes. You can recover deleted files for up to 30 days.
Mobile Devices and Apps
Why am I having trouble accessing Box @ UA from my phone or tablet?
If you attempt to access Box @ UA from a mobile Web browser, it will always redirect to m.box.com, the Box mobile site, even if you typed in arizona.box.com. It is not possible to directly log in to the Box mobile site with your UA username and password.
To get around this, type only your university email address (firstname.lastname@example.org), leave the password field blank, and click Login. On the next screen, log in with your NetID and password. You will enter the mobile site.
You can also access Box @ UA by downloading the Box app for your specific mobile device.
What apps are available for Box?
There are hundreds of apps available for Box. Box also provides a list of official Box apps. We recommend you use only official Box apps to transfer data securely to Box. If you use an app for Box that has been developed by a third party, you should take steps to ensure that the app transfers data using a secure method.

Security and Passwords
Are my files safe on Box?

What is an external password, and why would I need it?
Certain apps available for Box do not support single sign-on, which means you cannot access them with your NetID. To use such apps, you need to create an external password.
How do I create an external password?
To create an external password, log into Box @ UA. Click the gear icon at the top right-hand side of the screen and select Account Settings. Near the bottom of the page, select Create External Password. Make sure to use a password that is different than your NetID password.

Can I use ftp to transfer files to Box?
It is possible to use an ftp app to transfer files to Box. However, be aware that if you use standard ftp, your login data and credentials are transmitted in clear text. We strongly recommend that you use a secure FTP tool.
I get email notifications from Box all the time. How do I stop them (or just get fewer of them)?
You can adjust your email notification preferences to control when and why you receive email updates.
Can I change the way my name displays in Box and can I add a photo of myself?
By default, Box displays your preferred name as listed in the UA system. You can add a photo on your profile page. Click your name in the upper right-hand corner to open your profile. Click the Change Picture link to upload a photo.
How do I sync files from my desktop to Box and vice versa?
First, you will need to download the sync client for Windows or for Apple OS X. When you are logged into Box, click the Install Box on your computer button on the right menu.
Box also has an application called Drive that gives you a virtual mapped drive in the Finder (Mac) or Explorer (Windows). This makes your Box folder structure appear on your desktop without actually copying the files to your computer.
Can I sync files to my mobile phone or tablet?
No. It is not possible to sync files to mobile devices.
Can I sync files to a Linux computer?
No. There is no sync client available for Linux computers at this time.
Can every type of file be synced?
No. The following files will not sync: Temporary (.tmp) files, system and hidden files, Windows shortcuts or aliases on a Mac, Box Webdocs, Outlook PSTs (Personal Files), Google Docs documents, or Quickbooks files.
Can I use the sync client with files stored on a file server?
No. The sync client cannot be used on a file server.
